Job Role: Billable Works Coordinator/ Administrator
Contract Type: Permanent, Full-Time
Location: Aldershot (100% Office Based)
Hours: Monday to Friday, 8:00am – 5:00pm (40 hours per week)
Salary: £24,000 – £27,000 per annum
Mainstay Recruitment are looking for a highly organised and proactive Billable Works Coordinator to join our client’s team in Aldershot. This is an excellent opportunity to take on a key role within the Billable Works function, providing vital administrative and coordination support to the Damp and Mould team and the wider department.
About the Role
As a Billable Works Coordinator, you will be responsible for managing data, collating repair reports, and compiling information to support the delivery of small works projects. You will oversee the team’s inbound email inbox, allocating work enquiries from Pinnacle to the appropriate Small Works Manager and ensuring all information is captured accurately.
You will act as a first point of contact for military families, gathering details and providing updates in a professional manner. The role also involves regular communication with Tier 1 contractors to support project progress and ensure clarity across all parties.
Working within a small team of three, and collaborating closely with colleagues across the Southwest and Southeast regions, you will manage your own workload and priorities effectively. The position is fully office based, with occasional travel required across the Southeast and Southwest for meetings or training.
What We’re Looking For
We are seeking a confident, professional, and well-organised individual with strong initiative and the ability to work independently. You will have excellent data management and reporting abilities, with a strong command of Microsoft Excel to collate, analyse, and present information.
Exceptional communication skills, both written and verbal, are essential. You should be comfortable liaising with clients, contractors, and military families in a professional and approachable manner. Attention to detail, reliability, and the ability to prioritise tasks in a busy environment are key requirements.
Proficiency in all Microsoft Office applications is required. Experience using Maximo, as well as previous experience in facilities, maintenance, or project coordination, would be advantageous.
The ability to obtain and maintain BPSS clearance is essential.
Due to the location of the site, which is not accessible by public transport, it is highly beneficial to hold a full UK driving licence.
